Recruitment Process
Recruitment process is a process of identifying the jobs vacancy, analyzing the job requirements, reviewing applications, screening, shortlisting and selecting the right candidate. (tutorialspoint, 2019)
1.Preparing
Recruitment Preparing/Planning Process steps
- Creating goals
Whether companies want to increase the diversity of their
staff, reduce the cost and time it takes to hire, or address staffing needs
before shortages occur, the first step of creating a recruitment plan is to
determine what they want to get out of it.
- Forecasting hiring needs
planning process should include forecasting, where
recruiters look at the past staffing needs of the company to effectively plan
their current and future hiring efforts. This forecasting should consider
factors such as the likelihood of promotions within the company and attrition
rates, as well as any gaps in skills that need to be filled through hiring.
- Developing a recruiting calendar
A calendar can help recruiters create a timeline that
prioritizes filling specific positions in the near future. By keeping abreast
of the activities of all departments in the organization, recruiters will know
when management expects to bring in new staff. This allows them to create a
calendar to plan their recruitment focus.
- Defining ideal candidates
Every position has its own set of ideal qualifications, but
every organization also has its own ideal employee. The recruitment planning
process should not only define how to evaluate candidates for specific
positions, but also how to evaluate ideal employees.
- Creating a sourcing strategy
Not every sourcing strategy is created equally, so
recruiters should find the sourcing systems that work best for their needs.
- Refining the selection process
Recruiters want to make sure that they've made the right
decision when they choose a candidate to hire. Some of the areas where
companies can improve their selection process includes the way they conduct
interviews, administer assessments, handle background checks, and communicate
with applicants as they move through different stages of the hiring funnel.
- Making a budget
Hiring can be an expensive process, so adding a budget to a
recruitment plan can help companies stay on track and adjust their approach if
it ends up not being cost-effective.
- Leveraging hiring tools
Leveraging technology can help reduce the time recruiters
spend filling each position, so identifying the most relevant tools to help
with the process should be part of recruitment planning.
- Updating job descriptions
Accurate job descriptions contribute to hiring the right candidates
and making retention more likely. Organizations need to make sure their job
descriptions are a true reflection of what a position is, as well as what the
company is offering in terms of benefits and culture.
- Onboarding effectively
Onboarding sets the tone for the relationship new hires will
have with an organization, so it's important to develop a process that sets
employees up for success.(TalentLyft, 2019)
2. Recruitment Sourcing
Sourcing is typically part of the recruiting function performed by the HR professional. Sourcing can identify either candidates who are not actively looking for job opportunities (passive job seekers) or candidates who are actively searching for jobs (active job seekers).
Both passive and active job seekers can be located by
sourcing job boards, social media sites, corporate alumni associations and
through all types of networking. (Samples, 2019)
This process consists of two steps
- Source
activation -
- Selling -
Here, the organization selects the media through which the communication of vacancies reaches the prospective candidates.
The sources are broadly divided into two categories as Internal Sources and External Sources.
Internal Sources- recruitment refer to hiring employees within the organization
- Promotions
- Transfers
- Former Employees
- Internal Advertisements (Job Posting)
- Employee Referrals
- Previous Applicants
External Sources- recruitment refer to hiring employees outside the organization
- Direct Recruitment
- Employment Exchanges
- Employment Agencies
- Advertisements
- Professional Associations
- Campus Recruitment
- Word of Mouth
3.Screening
Screening eliminates the candidates who are not a perfect fit for the role, which saves a lot of time for the recruiters in mass recruitment. There are basic seven steps in the candidate screening process. (Rokad, n.d.)
4.Selecting
The Selection is the process of choosing the most suitable candidate for the vacant position in the organization, which will be helping the organization in reaching its objectives (Business Jargons, 2016)
A good selection process should comprise the following steps
−
5.Hiring
After negotiations, once the candidate accepts the job offer
they are hired. An accepted offer letter begins a process of filling out and
filing paperwork related to employment. Forms and paperwork might include:
(Smart Recruiters, 2019)
6.Onboarding
Onboarding your new worker in a welcoming and professional
way will help integrate them in a manner that lays the groundwork for a
long-term productive relationship between them and your company. A welcome
letter is strongly advised. From there, relevant management should reach out to
the employee before their start date to welcome them to the organization. f an
orientation is part of the onboarding process, make sure your employee has a
clear understanding of the expectations and scheduling of those events. Lastly,
consider assigning your new employee a mentor, which will help them settle in
to their new position and organization, and set them up for long term growth
and success. (Taylor and Francis, 2016, p.278)
